Why vector file prep belongs in the RFQ — before metal is cut

Most custom sign delays do not start on the CNC bed. They start in the inbox: a flattened PDF, a logo with live fonts the factory cannot open, strokes that look sharp on screen but explode into double outlines when cut, or an AI file with no scale so “letter height” is a guess. Brand teams, architects, and franchise coordinators then burn days in revision loops while the campaign calendar and landlord approval window keep moving.

AI vs EPS vs DXF: what factories actually open — and when

Adobe Illustrator (.AI) remains the most common handoff for logos, wordmarks, and illuminated letter art. Send a version-compatible AI (or export) with outlines locked and unused artboards stripped. Encapsulated PostScript (.EPS) still travels well across agencies and older print workflows; treat it as a clean vector container, not a place to bury linked rasters. AutoCAD Drawing Exchange (.DXF) is the preferred path when geometry must drive CNC, laser, or plasma cutting — especially for channel letter backs, returns patterns, ACM panels, and dimensional cutouts where absolute coordinates matter.

A practical split: use AI or EPS for brand artwork and face graphics; deliver DXF (or a clean SVG/DWG agreed with the fabricator) when the file is the cut path. Do not assume a pretty PDF is “vector enough.” Many PDFs flatten, subset fonts unpredictably, or embed low-res previews that look fine at 100% zoom and fail at full letter height. If you only have a raster logo, say so early — we rebuild or trace as a paid artwork step rather than guessing stroke widths on a JPEG.

Name layers for fabrication, not for design critique: logo / cut path, bleed or trim if relevant, do-not-cut notes, and a separate layer for dimensions. One artboard per sign set (or clearly named boards per elevation) beats a single crowded board with three campaign versions stacked on top of each other.

Outline fonts, expand strokes, and clean paths before you hit send

Live fonts are the fastest way to break a handoff. Convert type to outlines (Create Outlines / Convert to Curves) so the factory never depends on a proprietary font license. Expand strokes and brushes into filled paths: a 2 pt stroke that looks elegant in Illustrator can become an uncuttable centerline or an unintended double wall once a cutter offsets for kerf. Compound paths should be intentional — counters (the holes in A, B, O, R) must be true holes, not stacked white rectangles that vanish when color modes change.

Clean geometry before export. Remove stray points, overlapping duplicate paths, open shapes that should be closed, and microscopic gaps that only appear when the letter is scaled to 600 mm. Unite overlapping fills that belong to one cut outline. For neon-flex or tube-style paths, provide a single continuous centerline or outer profile agreed in the brief — not a decorative brush that the cutter cannot interpret. Check that mirrored or flipped logos are true geometry, not a flipped raster placed on a vector board.

Color is communication, not decoration, in a manufacturing file. Use spot or clearly labeled fills for face acrylic vs return paint vs halo intent when those distinctions matter; otherwise keep fill simple and put finish language in the RFQ notes. Avoid transparency stacks, soft masks, and nested effects that only render in Illustrator’s preview — they rarely survive the cut queue.

Scale, units, and letter-height callouts the shop can trust

Vector files without scale force the factory to invent one. Set document units to millimeters or inches consistently and state the rule in the filename or a notes layer: e.g. “artwork at 1:10 — capital height 450 mm on elevation A.” Call out overall logo width, capital letter height, and any stroke minimums that affect illumination (very thin strokes may need thickening for LED fill or neon-flex bend radius).

Include a simple dimension string on a non-cut layer or a companion PDF elevation: overall width, tallest glyph, spacing between letters if the set is not a single welded script, and clearances to canopy edges or landlord caps. For multi-line marks, note baseline alignment and whether tracking is fixed or may be optically adjusted in shop drawings. If the logo must match an existing installed set, send measured field heights — not only brand guidelines that assume print scale.

Watch minimums early. Blade and laser kerf, acrylic thickness, and return depth all punish hairline art. A file that works as a business card logo may need intentional thickening for outdoor LED channel letters. Flag any legal or brand-protected proportions that must not be altered so engineering knows where optical fixes are off-limits.

Illumination and fabrication notes that belong with the artwork package

A perfect outline still fails if light path is missing. State front-lit, back-lit (halo), dual-lit, or non-illuminated intent in the package — not only in a separate email thread. Note target Kelvin, face method (trim-cap vs potted/resin), return depth preference if you have one, and indoor versus outdoor exposure. For halo programs, call out desired standoff and whether the wall is light or dark; that changes how aggressive the outline can be.

Mounting and electrical context save redraws. Mark preferred stud or rail zones if the elevation is sensitive, remote versus canopy driver location, and destination listing market (UL or CE intent) when known. For multi-color illuminated logos, separate cut paths per color break and label which faces share a circuit. SEG or light-box graphics need bleed and safe-area notes distinct from hard channel-letter outlines — do not mix both intents on one unlabeled board.

If you already hold landlord or franchise criteria (max luminance, depth caps, approved finishes), attach them with the vectors. Fabrication-ready artwork is geometry plus constraints; either alone produces change orders after metal is cut.
